Here are the two biggest problems or limitations that I’m experiencing with my AI set up right now:
Persistent Memory. Chats that cut a 2-hour task down to 45 minutes are great but there’s much more we can do than being faster and better. And if we’re thinking long term, faster and better is not enough to sustain us. What we need to be doing is building a system while collecting context so that in three, six, and nine months our AI has more information about us and our work.
Once our AI has deeper data to mine, we can talk to that data and connect it to the bigger picture, creating coherence, which to me means how our daily wins relate to our larger vision and goals. With more data, your AI can identify where you can expand. It’s a new level of strategy and yet many of us are still stuck in one-off tasks that help us do more, but don’t build anything. If you stay on this track, six months from now you’ll have nothing to show. The goal is to create a compounding system.
Organizational Mess. I don’t know a single person who isn’t overwhelmed by the chaotic way their work is organized with AI. There’s no playbook for creating an AI system. We must find what works for us. Unfortunately, the only way to find it is through trial and error. Just a friendly acknowledgment to keep going.
What My Notion System Does Well
Ghostwriting Profiles That Serve As Editors & Thinking Partners — After I draft content for a client, I give it to my ghostwriting agent that works like a persnickety editor telling me where my logic is bad, where my client’s voice could be stronger, and how I could improve the flow. I built this agent with content I wrote for each client, which includes: 2-3 speeches, 1-2 news articles, an op-ed, press release, presentation, and public statements. The voice and tone is strong and so when I feed it draft copy it has an excellent profile to compare it against and provide feedback. It can also function like a second brain, helping me think through strategy to create a more polished plan.
Weekly Reviews — These run each week and show me where inefficiencies are hiding in my business and how to solve them. The value of weekly reviews compounds to show gaps, opportunities, and places where AI can be used to save more time.
Business Development Triggers — One of the most valuable areas where Notion can help you is finding new clients or opportunities (insert whatever way you like to say making more money).
I’ve developed a search protocol that I run based on criteria I’ve defined, including details about the kind of people or businesses I want to work for, the transition I want them to be in, the location, the size, etc. You’ll have to refine it, and the AI will give you some bad recommendations, but it will find excellent opportunities, too.
